How to process a POS order return — step by step
Follow these steps to correctly handle any return situation in your POS system, regardless of the order type or payment method.
Activate the POS module and check staff access rights
Before processing any POS order return, make sure the POS module is activated and that the responsible employee has the necessary permissions to perform returns. In most POS systems, the return operation requires a special role (manager or supervisor) to prevent abuse. Check the staff creation settings and make sure each user has the correct role assigned.
Identify the original order in the system
Access the order history in the POS interface and search for the order for which the return is requested. You can search by order number, customer name, associated table, or time range. Check whether the order has already been completed and paid — returns can only be processed on orders with "completed" or "paid" status. Note the payment method used (cash, card, split bill), as this determines how the refund will be made.
Select the products to be returned
Once the order is identified, go into its details and select the products for which the return is requested. You can process a partial return (only certain products from the order) or a full return (the entire order). Specify the exact returned quantity for each product and, where the system allows, add the reason for the return (damaged product, wrong order, customer dissatisfaction). This information is essential for quality reports and for adjusting inventory in the KDS system.
Choose the refund method based on the original payment method
The refund method should generally match the original payment method. If the payment was made by card, the refund is processed back to the card (through the payment terminal integrated with the POS). If the payment was in cash, you return the amount in cash from the register. For orders with a split bill (payment divided among several customers), you need to identify which party paid for the returned products and process the refund accordingly. Some POS systems also allow issuing a voucher or internal credit instead of a direct refund.
Confirm the return and generate the required fiscal documents
After selecting the products and the refund method, confirm the operation in the POS system. The system will automatically generate a return receipt (credit note) that cancels or corrects the original fiscal receipt. Make sure the return receipt is issued correctly and that the refunded amount exactly matches the value of the returned products. Provide a copy of the return receipt to the customer and keep the original in the restaurant's records.
Update inventory and notify the KDS or kitchen
A complete POS order return also includes an automatic inventory update. Returned products (if in good condition) can be put back into stock, while damaged or partially consumed products are permanently deducted. If you use a KDS system (Kitchen Display System), make sure the kitchen station is notified — especially for returns processed in real time, when the dish has not yet been delivered to the table.
Check the returns report at the end of the shift or day
At the end of the shift or at the close of the operating day, access the returns report in the POS module. This shows you the total value of processed returns, the most frequently returned products, the employees who processed returns, and the refund methods used. Reconciling this data with the sales report and bank statements is mandatory for accurate accounting and for preventing internal fraud.

Before starting any return operation in the POS, make sure you have all the necessary elements available:
- The POS module activated and correctly configured in your management platform
- A staff account with return permissions (manager or supervisor role)
- The number or ID of the original order for quick identification
- The original fiscal receipt or digital payment confirmation
- Clarification of the return reason (internal document or POS field)
- An active payment terminal, if the original payment was made by card
- Access to the KDS system for real-time kitchen notification
- Knowledge of the restaurant's return policy (deadline, conditions)
- Access to POS reports for end-of-day reconciliation
- A stable internet connection if the POS runs in the cloud
